We are a small office of just a few individuals who work very closely with our clients and take care of them and each other.
Your top priority is supporting our advisors in a few key areas and then expanding to support the business and the team. As the first and last person clients see when they are in the office, you are instrumental in making sure clients have the best experience possible. The role is diverse and has a number of aspects from phone work to CRM management and more. The successful person is going to be positive and always eager to help wherever you can. We are happy to train someone from outside of our industry, as long as you bring a caring and nurturing approach to working with people and are driven to learn.
Responsibilities & Activities
- Greet clients in a friendly and sincere manner, making them feel comfortable when they visit the office
- Handle incoming telephone calls, generally 30-60 calls per day
- Record meeting notes on topics covered, changes in client’s needs, and action items
- Summarize meeting and schedule action items in contact management software
- Conduct rollover calls
- Support client onboarding and new account processes
- Prepare and produce back-office support demands for basic client account requests
- Plan, assist with, and attend client events
- Place trades as needed to ensure alignment and execution of investment strategy
- Preparation of annuity reviews, as well as execute new annuity account openings
- Communicate and follow up regularly with clients about changes to their accounts
- Develop strong relationships and rapport with clients
- Handles calendars for the Wealth Advisor(s) and others in the office
- Adhere to all compliance/risk procedures, follow corporate and industry protocols, and protect the interest of the client and the firm at all times
- Stay current on industry developments; service and product enhancements; regulatory issues; and client needs
- Satisfy Continuing Education requirements for licenses and professional designations
- Performs general office functions like sorting mail, ordering office supplies, etc.
- Performs other duties as assigned
Knowledge, Skills, & Abilities
- High School Diploma or GED required; Bachelor’s degree highly preferred
- 3+ years’ experience in a professional setting required; financial services experience highly preferred
- SIE, Series 7/66 preferred or the desire to obtain
- Excellent attitude and an extraordinary client service orientation
- Superior phone skills—friendly and helpful in all interactions on the phone
- Prioritization skills - writes down most important items each day before leaving the office
- Excellent organizational and time management skills and ability to multi-task
- Professional demeanor
- Advanced level computer skills, as well as industry CRM
- Ability to type 50 wpm required
- Attendance is an essential function
